Duplicate Lead Detection & Merge

Predylo automatically detects when a lead may duplicate an existing contact in your org. A banner on lead detail shows potential matches so you can review before outreach — and admins or owners can merge records into one survivor lead.

Clean deduplication keeps reply tracking, activity history, and ownership accurate.

How detection works

When you open a lead, Predylo compares it against every other lead in your org:

Match signalRule

If one or more signals match another lead, a Duplicate leads banner appears at the top of lead detail with:

  • Match reason (e.g. “same email”, “same phone”)
  • Link to the other lead for comparison
  • Merge action (admin/owner only)

Reps see the warning but cannot merge — escalate to an admin if cleanup is needed.

Who can merge?

Only org owners and admins can merge leads. Regular members see the duplicate banner for awareness but not the merge button.

Merging is irreversible — the duplicate record is deleted after data is consolidated.

Review before merging

Before merging, open both leads and compare:

  • Conversation threads — Which has email history?
  • Owner — Who is actively working the deal?
  • Pipeline stage — Keep the more advanced record as survivor
  • Scores and intel — Survivor keeps its scores; empty fields fill from duplicate

Choose the lead that should survive (usually the older or more complete record) and merge the other into it from the survivor’s detail page.

Merge a duplicate

  1. Open the survivor lead (the one you want to keep).
  2. In the duplicate banner, review each match.
  3. Click Merge on the duplicate you want to absorb.
  4. Confirm — Predylo repoints related data and deletes the duplicate.

What gets merged

Predylo moves related records to the survivor:

  • Activities, reminders, enquiries, shares
  • Email events, outreach drafts, sequences
  • Company signals and associated contacts
  • Meta ad lead and co-pilot promotion links

Empty scalar fields on the survivor (phone, LinkedIn, job title, owner, deal value, etc.) fill from the duplicate when the survivor is blank.

An activity note logs: “Merged duplicate record (email) into this lead.”

Import-time deduplication

Duplicates are also prevented at import:

  • CSV / Apollo / V2 import — Same email within an org skips or enriches existing lead
  • Research pipeline — Reconcile attaches campaign or tops up missing phone/email instead of duplicating
  • Discovery qualify — Checks existing email before creating lead

The banner catches cases imports miss — e.g. same person with two emails or phone-only match.

Tips

  • Merge before sending — Avoid emailing the same person twice from two lead records.
  • Pick survivor carefully — Conversation history stays on the survivor’s thread; merge into the record with replies.
  • Document in comments — After merge, leave a team comment if context changed for other reps.
  • Don’t merge different people — Name + company matches can false-positive common names; verify LinkedIn or email.
