Tags & Segments
Tags are flexible labels you apply to leads. Segments are saved filter views on the Leads page — personal or shared with your org — so you can return to a slice of the pipeline in one click.
Together they help reps and managers organize leads beyond campaign and score alone.
What tags are
Tags are org-scoped labels stored once per organization (unique name, case-insensitive) and attached to leads via a many-to-many relationship.
Each tag has:
- Name — e.g. “Enterprise”, “Event – SaaStr”, “Needs legal review”
- Color — visual badge on the lead and in filters
Tags do not change lead status or ownership by themselves. They are for classification and filtering.
What segments are
A segment saves the current Leads filter state as a named view. Segments store a JSON snapshot of filter parameters:
- Search text
- Campaign
- Project type
- Sales stage
- Reachable (timezone) filter
- Owner
- Tag
Segments can be shared (visible to the whole org) or private (only you). Only the creator can edit or delete a segment.
Who uses it
| Role | Typical use |
|---|---|
| Rep | Tag hot leads, save “My enterprise queue” as a private segment |
| Admin / Owner | Define shared segments for team playbooks (“A1 + reachable now”) |
Add or remove tags on a lead
On the lead detail page:
- Find the Tags editor in the lead header area.
- Click to open the tag picker.
- Select an existing tag, or type a new name and create it inline.
- Click × on a tag badge to remove it from the lead.
Creating a tag on one lead makes it available org-wide for other leads and filters.
Filter leads by tag
On the Leads page:
- Open the Tag dropdown in the filter bar.
- Select a tag.
Only leads with that tag appear. Combine with Owner, Stage, Campaign, and other filters as needed.
Bulk tag from the Leads table
- Go to Leads.
- Select one or more leads with the row checkboxes.
- In the bulk action bar, choose Add tag….
- Pick the tag to apply.
Bulk tagging is idempotent — leads that already have the tag are skipped without error. An activity is not required for tags; the update is immediate.
Save a segment (saved view)
- Go to Leads and set the filters you want (campaign, stage, owner, tag, reachable, search, etc.).
- In the Saved views bar below the filters, click Save current filters.
- Enter a name (e.g. “Enterprise – my queue”).
- Choose Shared with team or keep it private.
- Click Save.
Your segment appears as a pill in the Saved views bar. Click it to re-apply those filters anytime.
Manage segments
- Apply — click the segment name.
- Delete — click × on segments you created (private or shared).
You cannot delete another teammate’s shared segment unless you created it.
Step-by-step: team playbook segment
Example: shared view for high-fit leads ready to call now.
- Filter Stage →
qualified(or your team’s active stage). - Filter Tag →
Call list. - Set Reachable → Reachable now (business hours in lead timezone).
- Save as shared segment “Call list – reachable”.
Share the segment name in stand-up so everyone uses the same definition.
Step-by-step: tag after an event
- Bulk-select leads from the event campaign.
- Add tag… →
Event – Q2 Webinar. - Save a segment with Campaign + that Tag for follow-up outreach.
Tips
- Keep tag names short and consistent — “Enterprise” beats “ent / big co”.
- Prefer shared segments for team views — private segments are fine for personal experiments.
- Segments capture filter state, not row selection — they do not remember which leads you checked.
- Combine tags with ownership — filter My leads + tag for a personal prioritized list.
- Tags appear in segment filters — saving a view with a tag filter preserves that tag in the segment.
